# Outlook

Sync key release dates to a Microsoft 365 group calendar, and see events your team adds to that group calendar on Runway's release schedule.

### Set up

#### Navigate to the Integration settings view

1. Select an app in the top left corner from the Switcher
2. Navigate to **App Settings** by clicking the gear icon (⚙️) at the top of the Timeline sidebar
3. Click on **Integrations** in the sidebar

#### Connect Outlook

1. Find the **Outlook** integration module under the **Calendar** section
2. Click the **Connect** button
3. If your organization has already connected [Microsoft Teams](https://docs.runway.team/integrations/notifications/microsoft-teams), Runway reuses that connection. Otherwise, you'll be taken through the standard Microsoft sign-in flow.

{% hint style="info" %}
Runway needs the `group.readwrite.all` permission to read and write group calendars. If your Microsoft connection was set up before this permission was added, Runway will show a **Click here to update** link during setup so you can grant it.
{% endhint %}

#### Configure the Outlook integration

* **Use a group created by Runway**: when disabled, choose a **Group** from the list. Only groups that the connected Microsoft account belongs to and that are visible in Outlook are shown. When enabled, enter a **Group name** and Runway creates a public Microsoft 365 group owned by the connected Microsoft account and uses its calendar. Anyone in your organization can find and join it. Changing the name later renames the group.
* **App name on calendar events**: the app name shown in event titles. Defaults to your app's name.
* **Additional event description**: optional text added to the top of every event's description, up to 1000 characters. Supported tokens include: `{version}`, `{versionConcise}`, `{versionMajorMinor}`, `{versionMajor}`, `{versionSuffix}`, `{releaseType}`, `{releasePilot}` and `{appName}`. See [Pattern strings & tokens](/getting-started/setting-up-mobile-release-management/pattern-strings-tokens.md).
* **Destination display on calendar events includes...**: show each destination's **Platform** (default), **Destination name**, or **Both** in brackets on its events.
* **Invite group members**: adds kickoff, submit, release and release cycle dates of active releases to every group member's own calendar as invites. Members get an email for each new, changed or removed date. Invites are marked as optional and don't ask for a reply.

{% hint style="warning" %}
Groups created from Microsoft Teams are hidden from Outlook by default, so they won't appear in the **Group** list. Pick a group that is visible in Outlook, or turn on **Use a group created by Runway**.
{% endhint %}

{% hint style="info" %}
A newly created group can take a few minutes to appear in Outlook and Teams, and you may need to restart the apps to see it.
{% endhint %}
